Exhibitor Information

ALL AMSACON 2022 EXHIBITORS have the opportunity to collect attendee contact information through the event app.

Exhibit Hall Package Includes:

Exhibitor Registration

Exhibiting organizations are required to have an official registered representative in charge of their exhibit during exhibit hours. All representatives of exhibiting organizations must be registered and wear an official AMSACon 2022 registration badge at all times in the AMSACon 2022 Exhibit Hall and Pre-Health Fair, if applicable. Each exhibitor registration includes an AMSACon 2022 registration badge for admission to the Exhibit Hall, Pre-Health Fair, and non-ticketed events. The number of complimentary exhibitor registration badges is determined by the exhibit space reserved. Additional exhibitor registrations are available for purchase at a rate of $175 each.

An exhibitor lunch is scheduled prior to the opening of the Exhibit Hall on Friday, April 8 and Saturday, April 9. Exhibitor registration and the request for lunch are required by March 7, 2022. Lunch will not be provided to exhibitors registered after March 7, 2022.

Registration badges will not be mailed. All registration badges will be available for onsite pick up at the Exhibit Hall exhibitor registration counter during the Exhibitor Check-In hours.

The AMSACon 2022 Exhibit Hall Exhibitor Services Kit will be provided by Viper Tradeshow Services in February 2022 with the proper order forms for exhibitors to order additional furnishings and services needed to exhibit as well as inbound and outbound shipping details.

Exhibit Hall Unloading and Loading Procedures

As AMSA’s official general service contractor, Viper Tradeshow Services will control access of the AMSACon 2022 Exhibit Hall load in/out area in order to provide a safe and orderly move in/out. Unloading or reloading in this area of any and all contracted carriers will be handled exclusively by Viper. Therefore, the Exhibit Hall load-in/out area may not be used by exhibitors and private vehicles will be prohibited in the load in/out area. Exhibitors are highly encouraged to send their exhibit materials in advance to Viper’s warehouse prior to the event. The proper shipping labels and order forms are in the Exhibitor Services Kit provided by Viper. ​Exhibitors who choose to bring their own materials into the exhibit area are limited to one small item that can be hand-carried by the exhibitor using the front entrance of the hotel. Dollies, hand-trucks, and flat carts will not be available from AMSA, Viper, or the Hyatt Regency Crystal City for exhibitor use. The use of passenger elevators or pedestrian entrances for load in/out is prohibited. Damage to the facility caused by exhibitors violating this policy is charged to the exhibitor.

Exhibit Hall Installation and Dismantling

Viper Tradeshow Services will have quality, skilled labor and will oversee all installation and dismantling of exhibits, furniture installation, pipe and drape, hanging of signs, laying of floor coverings, and unloading and delivering of all display related materials. However, representatives of the exhibiting organizations may install and dismantle their own exhibits without assistance from Viper as long as the exhibit structure can be installed and dismantled utilizing no more than one (1) person in a half hour or less without the use of tools or ladders. Labor required in excess of this must be ordered from Viper. It is recommended that all display labor required be ordered in advance from Viper. Exhibit Hall Security and Insurance

Around the clock surveillance of the AMSACon 2022 Exhibit Hall and session areas will be provided by AMSA. Although every effort will be made to protect merchandise and displays in the Exhibit Hall, exhibiting organizations are responsible for securing and insuring their own merchandise and required to obtain insurance coverage. Due to exhibitor requests, AMSA now includes compliant liability insurance, which meets all of the exhibitor liability insurance requirements. AMSACon 2022 Exhibit Hall exhibiting organizations no longer need to find or purchase separate compliant insurance for exhibiting at AMSACon 2022. Every Exhibit Hall exhibitor will receive a Certificate of Insurance from Rainprotection for April 7-9, 2022.

Sales and Order Taking

The Convention exhibits are conducted to facilitate sales, order taking and the exchange of product information. Sales and order taking are permitted in the Convention’s exhibit areas only. Vendors and suppliers who have not rented exhibit space are not allowed to sell or take orders, display products or services, distribute literature or solicit business anywhere in the Hotel. This includes the Exhibit Hall, Registration Area, Session Rooms and all public space. All Clients choosing to sell and/or take orders are responsible for securing the proper licenses and collecting and paying applicable local and state taxes.

Smoking Prohibited

No smoking is permitted anywhere in the Hyatt Regency Crystal City, which includes but not limited to, the AMSACon 2022 exhibit areas, registration area, session rooms, hotel lobbies, and public corridors.

Where to Stay

The Hyatt Regency Crystal City will serve as the official convention hotel of AMSACon 2022. All of the session programming as well as the Exhibit Hall and Pre-Health Fair will be conveniently held at the Hyatt. AMSA has secured a housing block to accommodate attendees and exhibitors at discounted rates. Hotel reservations and additional travel information will be available in December.
